The best way to preserve knowledge for future generations is to record lectures, webinars, tutorials, and speeches. Everywhere, including for professors to view their lessons, for students to brush up on their information, and for employers to display their business ventures, transcription is used. Zoom meeting transcription is a thing nowadays.

Students and professors benefit most from transcription since it makes it easier for them to go back and review lectures to identify any points that were missed, needed to be clarified, or were simply not covered. But the hardest part of studying is listening to records.

The analysis of many hours of recordings is a waste of time and creates additional substantial unsolvable problems if you only need to partially notate certain information. Additionally, this strategy does not ensure success.

As a result, we have compiled five straightforward suggestions for solving this issue fast and effectively. Let’s learn what academic transcription entails and why it is essential before we get into transcription techniques.

The Meaning And Significance Of Academic Transcription

The transformation of audio or video to text is known as academic transcription. In other words, academic transcription is converting an oral recording into written materials. This technique is used by teachers to write down ideas for upcoming scientific articles.

A wonderful tool for kids with disabilities is an academic transcription as well. For instance, a student with hearing difficulties can view the transcription the teacher has prepared without having their academic performance suffer.

To help students visualise knowledge, some teachers utilise transcription. Data is significantly more effectively perceived visually than auditorily. It is encouraging that so many teachers are aware of this and make an effort to pique their students’ interest in the subjects being covered in class.

This is especially true for distance learners because their homes can keep them from paying attention to lectures. Students can study the content in a peaceful environment by donning headphones and playing their favourite music.

Here are 7 great practices to follow so you can succeed in academia by making the most of your transcriptions:

1. Establish the interview’s parameters

You must concentrate on the interview method’s workflow if you want to streamline your transcription process. Although this advice applies to much more than just transcribing, keep in mind that the quality of your transcripts depends on the design of your research.

Even if you produce a trustworthy transcript of the audio recording, the transcript will be of little use to your research if the interview conversation lacks focus, insightful details, or a logical flow. Therefore, you must ensure that the research’s base is rock solid if you want to get the most out of your transcripts.

2. Effectively assign the transcription work

The painstaking process of transcription has a significant risk as well as high return (better context, knowledge, and insights) (a lot of time and energy spent). But you’d want to reduce the risk in a crowded setting like academia.

To do this, distributing the transcription job among your coworkers is a very successful strategy. Zoom meeting transcription can also be very helpful.

3. Give transcription enough of your time and attention

Although transcription is a small activity compared to your other assignments, it really aids your research. Therefore, it’s worthwhile to invest the necessary time and effort to execute it correctly.

Transcription is a talent that can be learned quickly, but it shouldn’t be rushed. If not, the transcripts that are produced will need more time to fix than to actually analyse. However, if you do it correctly, you’ll have access to priceless resources that can aid you in both your current research and any future academic attempts.

4. Listen to the audio only briefly before transcribing

Every audio recording has some flaws. It’s likely that the recording of the lecture or interview you have will contain problems that will make it challenging to transcribe. When you can push past them while transcribing, doing so may require extra time and effort to solve problems.

Additionally, depending on how complicated the problems are, you might not be able to solve them at all. You can be proactive and identify the audio difficulties in advance by scanning the audio first, rather than finding them out during the transcription process.

You may get a sense of the audio this way and note any problems you run into.

5. Efficiently proofread the finished transcript

You can start utilising your transcript as soon as you’re done, but should you? Most likely, the content contains some grammatical, spelling, or formatting problems. You can easily correct these errors and continue with your analysis. It’s still advisable to review your transcript before using it, though.

Of course, some people would rather not spend the extra time and effort checking their transcripts. If you leave the errors, though, it can end up taking more time and being more irritating in the long run.

Therefore, to ensure a more effective research procedure, it is best to proofread the transcript.

6. Produce several copies of the transcript

Consider your transcript to be a significant source of information. Of course, you’d want to safeguard it at all costs. Yes, transcripts are important study tools to some extent. After all, you required their assistance in your research.

However, you must take into account the time and effort it took you to complete them. The time invested in making your transcripts will be lost if you lose them (along with the critical insights you gained).

7. Transcript formatting for easier access

As was previously mentioned, your transcript may be very useful in the future. This is basically accurate, though, if it is written in a clear manner. Transcripts and other research materials need to be formatted for easier accessibility if you want to future-proof them.

Although academic transcription is difficult, you can expedite the process by adopting the tried-and-true techniques offered by EQ Transcription services. We’ve given you seven useful tips that will enable you to enhance your typing speed and accuracy while also producing transcripts of the highest calibre.

Making academic transcriptions on a regular basis will enhance your reputation and provide you with a chance to brush up on your vocabulary.

Regardless of the sector you operate in, transcription services in the UK can be integral. For example, there are many businesses that enjoy the benefits of transcription services in London, and these can range from solicitors to journalists.

Of course, to benefit from transcription services in the UK, a professional service must be used. Although it may be tempting to choose the cheapest options available, this will not always offer value for money, and could even cost more in the long run.

Fortunately, there are options available that are both affordable and professional.

Why Consider Transcription Services in the UK?

Although some businesses use transcription services in London, there can still be others who enjoy the benefits. The following is an overview of what can be gained when using transcription services in the UK.

Information Can Be Distributed Easily

Teamwork is an important component of any business, which means having access to the same information. Although sharing audio or video is easy, there can be times when the content is misinterpreted.

Employing the skills of professional transcription services in the UK ensures all the information is contained verbatim and offers an easier and compressed format that makes communications faster and easy to understand.

Transcription Services in the UK are Flexible

There can be times when significant transcription needs to be completed, but the business does not have the budget to employ transcription staff on a full-time basis.

Fortunately, those who consider transcription services in London and the rest of the United Kingdom can be confident that skilled professionals can hand at any time, and will only generate cost when carrying out work, making it a more affordable option.

Work With Genuine Transcription Professionals

It is easy to assume that the role of transcriber is simple, but nothing could be further from the truth. Although some work can be carried out relatively quickly, there can be other instances where distortion or background noise makes transcription complicated.

Making use of transcription services in the UK ensures you are working alongside seasoned professionals who will have had plenty of experience regarding different accents, background noise and other disturbances that make the recording unclear.

This also ensures that even the most problematic transcription can be overcome in a timely manner, ensuring there is no hindrance to the productivity of the business.

Frees Up Employees Who Can Focus on Other Roles

Knowing which task should be dealt with first can be challenging, and just because some tasks can be monotonous does not mean it is unimportant.

Fortunately, those finding that transcription is stopping them from focusing on other roles can take advantage of transcription services in London, allowing current employees to focus on other roles that can help move the business forward.

Finding the Right Transcription Services in the UK

There can be many claims made online regarding the skill set of individuals, so it is important that a business ensures the service on offer is both professional and reliable.

If you are searching for professional and affordable transcription services in London that can be accessed at any time, then choose EQ Transcription. All that is required to benefit from the service is the uploading of files that need to be transcribed, and EQ Transcription will carry out the rest.

With over 600 clients, a 98% accuracy rate and affordable rates, what search elsewhere for transcription services in the UK.

Many film makers already use transcripts in the post-production of their films as they have found this saves them an incredible amount of time and effort.

Documentary makers have been slower to come to the realisation that getting a transcript of their film will help, but this is now starting to become an important part of documentary making. As more and more documentary makers use transcriptions, so the word of how much easier the job becomes, spreads.

Here are a couple of good reasons for documentary makers to use transcription services:

Speeds Up the Editing and Re-editing Process

A professional transcription of the documentary speeds up the editing process dramatically. We at EQ Transcription Services can provide you with an accurate written copy of the speech, (including noises, pauses, silence etc), with timestamps that are synchronized to the film.

You can see at a glance what words fit what action, where the silence stretches out too long and so on.

If you have a written copy of the text as you watch the footage, editing is easier, and it is a good way to help you find scenes in the film. Voiceover parts are often re-done, and again these will show up clearly in the transcript, not only showing where they are necessary, but what needs re-said.

Makes content more accessible

Subtitles and captions for films can be lifted out of transcriptions with minimal extra work. Nowadays subtitles and captions are used more than before as the hearing impaired are catered to in a way they weren’t in the past. Also, if you have a transcript, getting this translated into another language is much quicker, easier and cheaper than paying someone to translate a film.

The more assessable the content, the more views is normally how it works, so you want to make your work as accessible as possible.

Focus Attention on Listening

Conferences tend to be full of information, and if someone is interested in really learning what you have to say, (and this is the reason for holding the conference after all), they can lose important facts because they are taking notes.

By recording the whole event and offering a transcription to attendees, you eliminate this risk. (You can even charge a nominal fee to cover your costs if appropriate).

Even Non-Attendees can follow it

Not everyone can make the journey to hear what is said, so a transcription allows one and all to benefit from the speeches.

Involve Employees

Keeping employees happy and making them feel part of your business makes for better productivity. You can distribute the information from the conference, or selected parts, to all employees. This also gives them a better feel of what you are doing.

Ready Made press Release

A transcription is a ready-made press release, or it is also an easy way to deliver the salient points to the press.

Social media

Posting important or interesting parts of your conference on social media is good, free advertising.

Quick Overview

A written document is a quick overview of what went on and is easy to search if you want to see a specific point again.

A Record

Recording and then getting a reputable transcription service, like EQ Transcription Services, to provide a written document gives you proof of what was and was not said if anyone questions something at a later date.

Marketing

You can use certain parts of the transcription to create marketing material, and direct quotes can be 100% accurate.

Archive

Having a written copy, (also hard copy on USB/DVD etc.), of events in your archives is a good idea. It makes searching for a particular point quick and easy.

Highlight Parts

You can easily highlight parts that are of interest or are unclear, so you can ask for clarification.

We at EQ Transcription Services have transcribed many conferences and our clients come back for more work from us because they find our services so useful.

Move your business up a notch and have your next conference transcribed.

Everybody loves a bargain, but everybody also hates poor quality. The trick is in the word ‘bargain’ which indicates ‘cheap’ to most people. The old adage ‘you get what you pay for’ is not far off the mark. So, rather than looking for a cheap service, how about looking for the ‘best value for money’. That puts a different outlook on the whole thing.

The next question is how to tell what is ‘the best value’. With a product, this is easy because you can see it, but it is harder to judge when dealing with a service.

As in any service, transcriptions need to be high quality. If you need a transcription, you need it written correctly and accurately. That comes with experience and professionalism, and unfortunately, that does have a price, (often lower than you think).

Transcription Rates Explained

There are many transcription services around, and they have three basic ways to charge for work; per word and per package, but these are the least common. Then there is per minute/hour, and that is how we at EQ Transcription Services charge. This makes it easy for you to calculate how much your transcription will cost before getting it done.

There is a basic price, but just about every agency had extras you can choose according to your needs.

Extra Services

Speed of Delivery

Most companies offer additional service options, above the actual transcription naturally. These are often express delivery/priority etc. if you need the work in a hurry. There is usually an additional cost for this.

Verbatim Transcription or Intelligent Transcription

In some instances, transcription companies have different prices for a verbatim transcription, (this is where every word, tone, pause and sound is transcribed), and intelligent transcription, (when the only important factor is the content, not how it was said). When companies use this option for pricing work, intelligent transcription usually works out cheaper.

Subject Matter of Transcription

Technical fields, such as law and medicine, because of their complex nature and special vocabulary, can cost more in some cases than a simple focus group or meeting discussion. Technical material requires a transcriptionist who has knowledge of that field.

Single or Multiple Speakers

Many transcription services charge more for multiple speakers than for one. This is simply because it is harder to keep track of who said what, to distinguish between speakers and even to make out what was said when they all talk at once, and this makes the job more time-consuming. EQ Transcription Services offer three alternatives; a single speaker, a couple of people, or a group. The price difference is negligible, but it is slightly more for a group than for one voice.

Time Stamps

Inserting the time of the recording next to the spoken word can help locate a certain phrase in the audio. Some companies charge more for this, while others offer it as part of the service and it is included in the price.

Audio Quality

An add-on you might come across is an extra charge for poor quality audio. This is because in many cases the audio needs ‘cleaned’ before transcriptionists can understand what is being said. Any bad audio and this can be as simple as noises like a car passing, can make the spoken material hard to hear clearly enough to transcribe with accuracy.

To Sum Up

Going back to the beginning and the phrase, ‘you get what you pay for’, as you can see each additional charge is due to something that causes more work for transcriptionists.

You can keep costs down by ordering the transcription as soon as you have the audio, thereby avoiding extra charges for a speedy delivery. The same applies to use good recording equipment to get clear audio.

If you need an accurate transcription, you should go with a reputable company with experienced transcriptionists. Paying less money but getting an inaccurate transcription is not a bargain, it is a waste of money and could end up costing you more in the long run.

If you have any doubts about how much a transcription will cost, contact the company, explain clearly what you have, and your needs, and ask for a quote.

We all know students are on a tight budget, but they have to balance good grades with what they spend. With a lack of funds in mind, using a transcription service such as EQ Transcription Services might seem like a bad use for limited money, but it could also be the answer to better grades. That in turn could mean a higher paid job when university or college is over, or at least more offers to choose from.

By recording and transcribing lectures you can capture every single word. Note taking while the professor is speaking, leaves many students playing catch-up and even missing important points. It simply isn’t possible to write down everything that is said; speech is much quicker than writing.

If your lecturer is talking about a complicated theory, you will probably struggle to follow his words, never mind writing them down at the same time. By recording the lecture you can concentrate on understanding the explanation without any distractions, and later, as well as a fully transcribed written account of what was said, you can play back the recording to listen again. If you can concentrate on listening to the concept, you might even have questions for your professor to help clarify certain points, but if you are writing, the talk will have moved on to another part before you can ask, and you will have missed the right time to question something.

It is believed that note taking while listening can capture only around 40% or less of what was said, so a significant amount will be missing.

Some students find it easier to learn by listening, which is a good reason to record the lecture, and then having it transcribed provides a quick and easy way to make notes. Others learn better by reading, which is also a good reason to record and transcribe what is said. Either way, the benefits far outweigh the disadvantages. You can gather a few fellow students and pool your resources, so four or five of you are paying for the transcription, thus lowering the cost dramatically.

By working with others it also means if you miss a lecture for any reason, you have a full and complete written account of what was said, as they will have recorded it, and you can then get it transcribed.

When a lecture is over, most students need to then re-write their notes to make them coherent, and this takes up valuable time. They then underline and highlight whatever part they believe will be needed for revision. With a transcription of the lecture in document form, it is easy and quick to make a copy in which you then delete all the parts you do not need, underline and highlight important points and write notes in the margin.

You can also listen to the recording while jogging, driving or eating, so you hear the lecture again, but lose no time doing it.

Note: Make sure the recording is good quality, and beware of cheap transcriptionists – they may not accurately transcribe the lecture. With a reputable company such as EQ Transcription Services, you are guaranteed accurate text.

Express Scribe is a popular software programme for people who do transcriptions as a job. There are two versions; a free basic one that works well, but is limited in compatibility, (for example it does not work with video playback in MOV, WMV etc.), and a paid version called pro. Check the formats the free one can be used with, to see if it covers all the types you need, and if not, to buy the pro version.

Whichever version you choose, there are 6 basic and easy steps to learning how to use Express Scribe:

Load Audio Files into Express Scribe

There are three options to choose from for this; one is automatic and the program checks for new audio files at timed intervals. Another is to manually load the file by clicking on the ‘Load’ button and browsing your computer for the file, just like many other programmes. The last option is to transfer your file from an exterior source to your computer, using an Audio Cable or USB, again just like uploading music or pictures to your computer.

Play Uploaded Recordings

You can play a recording by pressing the F9 key to start, and F4 key to stop, but easier than that is to simply press the ‘Play’ and ‘Stop’ buttons on your screen. If you purchased a compatible foot pedal you can use this too. Pressing the middle pedal starts the audio and releasing it stops the audio.

If there is no sound, from the menu select ‘Options’, then ‘Playback’ and make sure the soundcard you have on your computer is selected and the volume at a good level.

Rewinding and Forward Winding

To rewind the recording, press and hold down F7

To fast forward press and hold down F8

To go to the start, press the Home key

To go to the end, press the End key

Using the Interface

You can resize the Express Scribe window to suit. Full size shows everything; toolbar icons, file list, play controls and notes.

You can also drag the ‘Play Control’ up so the toolbars are no longer showing and you only have the play and dictation list.

There is a ‘Scribe Mini’ icon on the main toolbar which reduces the screen to postage size, or you can customize your screen using the ‘View’ menu and choosing icons, tools etc. that you wish to see or remove.

Transcribing

When you play the recording the pad for writing should be visible. This is found in the ‘View’ menu as “Show Typing Pad”.

Note: You need to click once in the typing pad with the mouse to activate it before typing.

You can also use any other programme for transcribing while Express Scribe plays your audio.

Deliver Transcription

You can send the completed work by email, or, provided you downloaded and typed using Express Scribe, mark the file as ‘Done’ and click on the ‘Dispatch’ icon.

Express Scribe makes transcriptions easier and like any programme, once you get used to how it works, you will find it reduces the time a job takes you and makes your life easier.

Many people believe that the free or low cost online software/apps can take the place of human work. These ‘machines’ do the job quicker, cheaper and with no fuss, so why not use them? Well, they are extremely inaccurate, and that means they could cost you a bundle, so they are not cheap after all.

One example is; Machines that transcribe words into pages cannot tell the difference in tone between ‘yes?’, ‘yes’ and ‘yes!’, and this difference could be vital. It will be a long time, if ever, that machines can do certain jobs as well as humans.

There are many fields where accurate transcriptions are imperative, and only a professional, human, can offer that. Here are a few fields which still need human transcriptionists:

The Law

The legal profession still need transcription services for many parts of their job. Court cases are recorded and then transcribed so each party can go back over what happened, and in what way it happened. Interviews with suspects or witnesses are another area where it is important to be accurate and show what tone or inference was used as well as the words.

Medical Profession

Doctors, health-care professionals and medical facilities use transcription for patient consultations, medical research, focus groups, discussions and more. This is another field where an exact transcription is fundamental to the correct care, so this needs to be done by trained professionals who understand every word said and can also transcribe the tone and any unspoken pauses or hesitations.

Marketing

Market research is an important part of any successful business and here, again professional transcription services, such as those provided by EQ Transcription Services, play an important part. Customer remarks or interviews about products, along with meetings and seminars need to be well documented for the research to be valid, and the company to move forward in the right direction.

Science

As science evolves and more research is done, so there is more material that needs transcribed. This could be anything from private research to major conferences, but either way a minor mistake could lead to disastrous consequences. Some countries, when giving figures, use the comma where people in Britain use the point, so for instance; in Italy 2,317 is 2.317 in UK, not two thousand three hundred and seventeen. It takes a human to know these things and adapt their transcription accordingly.

Media

The media is another sector that uses transcriptions in many ways, be it to create a copy of an interview, or a journalist who took notes on a recording device, and they too need precise records of the events.

Whatever the case, if it is worth doing, it is worth doing well, and that means a professional transcription service with trained humans.

There is only one question to ask yourself – “Do I want it extra cheap or right?” Both are not possible.

There is a short answer to this, and it is that headphones are much better. However it is not quite as simple as that answer makes it seem.

First let’s look at the differences;

Speakers let other people in your home, (or workplace), know you are working so they do not interrupt. Headphones give no indication to others that you are busy, and unless you are alone, you risk someone coming into the room you are working in and interrupting the flow, thereby costing you much more time. The same applies in reverse; if you use speakers the noise might interrupt your kids homework or whatever the household members are doing, but headphones interferes with nothing else. If you work in an office with other people, this is a no brainer – you need headphones as your audio cannot bother fellow members of staff.

Everyone with a computer, has speakers of sorts built in, so there is no need to spend any more money in order to work as a transcriptionist. Headphones cost extra money, and often cheap headphones do not give great quality audio. Good quality headphones can be very expensive.

That leads to another question – is it worth buying cheap headphones or should you wait until you have saved enough for an expensive pair? This is not so easily answered, but probably it is worth buying even the cheapest you can find.

If you have never used headphones we at EQ Transcription Services strongly recommend you get a pair. Audio quality is so much better with even a cheap pair and things sound so much clearer and pristine.

Headphones also block out any background noise that could put you off the transcription, especially if they are headphones that cover your whole ear, and not only earbuds that are inserted into your ear.

You might even find that by using headphones you no longer need audio cleaning software. Headphones can also speed up your transcription time – no more going backwards and forwards to try and decipher a phrase, or at least not as much. It will be considerably clearer the first time you listen to it in the headphones.

The better quality headphones the better quality you will hear the audio, (and they are great for music too), and there is no doubt good headphones will make your life as a transcriptionist much easier.

Legal transcriptions almost always, if not always, require a verbatim transcription, and in many cases it is your transcription than will be used rather than any recording. That is the reason you must be 100% accurate – and 100% means just that, not 99.9%. Any small mistake on your part could make the difference between a guilty man going free, or an innocent one being condemned.

These are specific rules that must be followed when working on legal transcriptions. Even though they tend to be unspoken, we at EQ Transcription Services follow these rules carefully, as any good transcriptionist should.

Here are some helpful ‘Dos and Don’ts for legal transcriptions.

Do – be aware of legal terms and use reference books or another source for checking legal terms.

Don’t – take on a legal transcription unless you are familiar with at least the basic terms used in the legal profession.

Do – clear up any doubts about the job before you start work. Ask any questions necessary to be sure you fully understand the requirements.

Don’t – assume what the client may want, make certain.

Do – contact the client while you are working on a project if a problem arises.

Don’t – decide it is fine or better in a certain way, without checking with the client if it is really better.

Do – make sure you transcribe everything verbatim, including any ‘you know’, ‘like’ and so on. Remember, false starts can be a vital clue in a legal case.

Don’t – correct grammar mistakes and slang, or leave out hesitations, pauses or anything else. Exactly what was said, as well as how it was said, is important. How it should have been said is irrelevant.

Do – include every single background noise and sounds people make. A person clearing their throat or coughing could be a sign to the person testifying, that is why you must include everything.

Don’t – leave out something which seems insignificant to you, but which may make a huge difference to a legal professional.

Do – type everything and if there is a part you are unable to make out, type ‘unintelligible’ or ‘inaudible’ and the time on the recording where this takes place. Someone who was present may remember what was said, as long as you point out the problem.

Don’t – make up or ignore unclear parts, these could be very important. Even if a lot of the audio is unclear, it is better to say so rather than guess or disregard it.

To sum up, while all good verbatim transcriptions include every nuance and noise, legal transcriptions need these to be valid and useful, more than in most other fields.

Anything and everything can obviously have a big impact on a legal case, so leaving out what might be an insignificant sound is not an option. Better to add unnecessary sounds, than miss something vital.
